Privacy Policy
1. Data We Collect
Nexus collects only the data required for its functionality, including:
- Discord User IDs and usernames/display names
- Discord Server (Guild) IDs
- Discord Channel IDs and Role IDs
- Server configuration settings (permission roles, ping roles, embed customisation, etc.)
- Moderation data (warnings, infractions, mutes, bans, kicks, blacklist entries, and security/anti-raid logs)
- Linked Roblox identifiers submitted through blacklist commands (display name, username, user ID), plus any proof attachments or links provided
- Staff systems data — Leave of Absence requests, staff applications and their responses, rank promotion/demotion and retirement records
- Community feature data — levels/XP, birthdays, polls, reaction-role and auto-reply configuration, and giveaway entries
- The text of questions sent to the
/ask command, only while that feature is active — see Section 7
Nexus does not collect passwords, payment details, or any sensitive personal data.
2. How We Use Data
We use collected data strictly to:
- Provide bot features and functionality
- Store server settings and preferences
- Manage moderation and security systems (infractions, logs, anti-raid protections, etc.)
- Operate staff systems (Leave of Absence, applications, rank management)
- Operate community, leveling, and giveaway systems
- Improve reliability and prevent abuse
We do not sell, rent, or trade user data.
3. Data Retention
Data is stored only as long as necessary for Nexus functionality. Data may be deleted upon request or when no longer required.
4. Data Deletion & User Rights
Users and server owners may request deletion of their data at any time. Data removal requests can be sent via Discord:

Requests are processed within 30 days.
5. Security
We take reasonable steps to protect stored data, but no system is 100% secure.
6. Third-Party Services
Nexus operates on Discord and complies with Discord's Terms of Service and Privacy Policy.
7. AI Assistant Feature (On Hold)
The /ask AI assistant feature is currently on hold and not actively processing requests. While it is inactive, no question text is sent to or stored by any AI backend. If and when this feature is reactivated, this Privacy Policy will be updated first to describe what is sent to the AI provider and how long it is retained.
8. Changes to This Policy
We may update this Privacy Policy at any time. Continued use of Nexus means acceptance of changes.

Terms of Service
1. Acceptance of Terms
By using Nexus, you agree to these Terms and Discord's Terms of Service. If you do not agree, you must stop using the bot.
2. Rules of Use
You agree not to:
- Abuse, exploit, or misuse Nexus
- Attempt to disrupt or interfere with the bot
- Reverse engineer or manipulate the system
- Use Nexus for illegal or harmful purposes
3. Service Availability
Nexus is provided "as is" and "as available." We do not guarantee uptime, availability, or error-free operation. Features may be changed, added, or removed at any time without notice.
4. Liability
The developers are not responsible for:
- Data loss
- Server disruptions
- Misuse of bot features
- Any indirect or direct damages caused by using Nexus
Use Nexus at your own risk.
5. Termination
We reserve the right to:
- Restrict access to Nexus
- Blacklist users or servers
- Remove access without prior notice if rules are violated
6. Privacy
Use of Nexus is also governed by the Nexus Privacy Policy above.
7. Changes to Terms
These Terms may be updated at any time. Continued use of Nexus means acceptance of updates.
